Hours: 40 hours per week 

We have a fantastic opportunity for an Administrator to join our team at Aintree Equestrian Centre assisting with the day to day organization, administration and running of competitions and events

Role summary

  • To assist in co-ordinating the event diary to maximise the profitability and popularity of the Centre, in conjunction with developing a schedule of affiliated and unaffiliated competitions

 

  • Taking responsibility for ensuring accurate and timely provision of information to the Shared Finance Centre. Ensuring invoices and prize money are paid in a timely manner. Regular reporting to Equestrian Centre Manager on status of financial transactions.

 

  • To ensure comprehensive planning of events. Organisation and booking of judges, writers, commentators etc for shows, as well as liaising with caterers, cleaners, contractors and internal departments. Organising rosettes and prizes, and setting up and running the Show Management System. Collate and return show results/qualifiers to relevant governing bodies after show/event.

 

  • To administer all equestrian themed enquiries and bookings. Follow up all enquiries for hire of the Centre/facility. Liaise with the enquiry re their requirements providing technical details about the Centre. Negotiate and confirm a fee re facilities required after confirming with the Equestrian Centre Manager, obtain signed Agreement and the appropriate H&S documentation and forms.

 

  • To liaise with the Racecourse Conference & Events team and Operations Team, with regard to the co-ordination of equine activities and conference/banqueting activities. Provide comprehensive event information for all relevant personnel and attend weekly function sheet meetings.

 

  • To answer and deal with all telephone calls/messages, emails, letters and other correspondence promptly. Assist with follow up calls to all enquiries ensuring that messages are recorded.

 

  • To assist with the operation, maintenance and up keep of the Equestrian Centre building, stables, services and facilities, riding surface, equipment and machinery ensuring that all areas are fit for use. Liaising with Front of House, ground staff and operations teams when necessary.

 

  • To assist with organisation, running and promotion of any additional equine activities, such as training clinics and demonstrations.

 

  • To develop a pool of volunteers, liaising with universities, colleges and schools to assist with the running of equestrian activities. Ensuring that appropriate letter of employment is completed and details confirmed to HR and Payroll Depts

 

  • To assist with the Centre’s website and Facebook, regularly updating, along with the event calendar, schedules, times and results.

 

  • To assist at Aintree Racecourse race meetings, as and when requested.

 

The successful candidate will be required to work evenings and weekends to support racing when necessary.
