About the role

We have a fantastic opportunity for a Conference & Events Co-ordinator to join our team supporting both Aintree & Haydock Park Racecourse to provide exceptional administration delivering conferencing and events to exceed our customers’ expectations.

Note: We have 2 open vacancies 1 permanent & 1 on a 6-month Fixed Term. We are open to applications for either the Permanent or Fixed Term to be based at either Aintree or Haydock Park.

The Conference & Events Coordinator will

• Undertake all conference and event administration for the racecourse, supporting the regional sales function and preparing all relevant information, for the catering and operations teams including table plans and dietary requirements.

• Be a direct point of contact for the customer after booking confirmed, liaising with the client to ensure they have the best experience, ordering and delivering any additional extras.

• Be a direct contact for the operations and catering team leading up to event days, to ensure smooth running of the event day.

• Prepare function sheets for events, clarifying final detail from the client, and ensuring sign off for each event.

• Ensure all aspects of events are invoiced for both pre and post event.

• Liaise with finance on a regular basis to ensure that all clients have paid ahead of events.

• Support for the Hospitality Coordinator team as and when required.

About you

• Experienced in an administration role within a client facing environment.

• Positive, can-do attitude to the workplace with a hands-on approach.

• Thrives in a fast-paced environment bringing your energy and passion to the workplace.

• Maniacally focused and organised with excellent attention to detail.

• Excited about making a difference within a fun, supportive team.

• Technically savvy with excellent written and oral communication skills

• Comfortable working evenings and weekends to support racing when necessary.
