About the role:
The role of the Senior Accounts Assistant (Media & International) is to work alongside colleagues in the finance team & legal team performing a range of accounting and clerical tasks relating to the accounts receivable for our media income streams. This includes overseeing the management of the sales invoices process system, and being accountable for ensuring that invoices are in accordance to legal contracts with partners, receipts are reconciled, and that the debt position is proactively reporting on and chased down.
Key responsibilities will include:
- Manage the Account Assistant to ensure that all full and partial billing is accurately processed in line with agreed contracts for all entities.
- Work with the business to ensure that purchase orders are obtained from the client where required.
- Ensure any unallocated receipts are investigated immediately once they are recorded.
- Issue any credit notes in accordance with the credit note policy.
- Ensure that all sales invoicing for the month is completed in a timely manner in accordance with month end timelines and billing reports on live file are updated.
- Provide electronic statements to customers and undertake customer statement reconciliations.
- Proactively chase all customers not adhering to terms of business.
- Produce a weekly aged debt position, providing comments and updates upon any customers not adhering to terms and present weekly meeting with media heads.
- Produce any analysis on debt type as required, for e.g, future events, type of income.
- Setup new customers as required and maintain customer ledger data files.
- Liaise with data team on chasing 3rd party reports.
- Feed debtor and collection projections into weekly cash flows.
- Maintain financial security by following internal accounting controls.
- Prepare financial reports as required.
- Provide support to wider finance.
About you:
- 1-2 years’ experience in a similar role, with a working knowledge of accounts receivable
- Take initiative and the ability to work independently
- Excellent relationship management
- High levels of personal integrity
- Team player with pronounced numerical affinity and accuracy
- Previous experience with ERP systems (Exchequer) an advantage
- Excellent written and verbal communication and confident presenting to senior leaders
